eCollections Submission Guidelines
Emily Carr University's eCollections accepts submissions for research outcome objects from individuals or groups affiliated with an ECU department, program, research team, working group, collaborative project, or conference such as:
- Current ECU faculty, researchers, and employees
- ECU faculties, departments, and administration
- Undergraduate students with faculty sponsorship
Outcomes include: scholarly and creative materials, as well as important documents related to the university's history, in digital format
eCollections is an open-access repository primarily providing access to complete (i.e. "full-text") digital works, but can also include abstracts and citations, and can link out to other locations on the Internet, including from within the repository. Keep in mind that the preference is to ‘house’ these objects in eCollections so they are persistent and preserved for long-term access.
Previously published journal articles may include different versions, including:
- working draft
- pre-print: the author's manuscript as submitted to publisher for peer-review
- author’s pre-print: all peer-review and other editorial changes are in place in the text, but before layout and minor sub-editing changes
- published version: also called the final or official version which has been copy-edited, typeset, and/or enhanced by the publisher in other ways
Works that are subject to a publisher's embargo period may be added to eCollections at any time, but they will not be made publicly visible until the embargo period has ended.
Works published or created prior to an author's affiliation or who are no longer affiliated with ECU may be retroactively deposited as long as the authors are currently affiliated with ECU and meet all submission requirements
Materials produced by non-university researchers that are produced in conjunction with an ECUAD-sponsored event, such as a conference or lecture series are also permitted.
You need to own the copyright or have permission from the copyright holder to include the work in eCollections. Authors/Creators may only submit their own work for archiving.
Consider attaching a Creative Commons license to the object.
ORCID
ORCID provides a persistent digital identifier that distinguishes you from every other researcher and, through integration in key research workflows such as manuscript and grant submission, supports automated linkages between you and your professional activities ensuring that your work is recognized.
Creating a scholar profile
Send the following information to the eCollections administrator by email:
- Name *
- Credentials
- Department *
- Email *
- Start date
- End date
- URL
- Biography (up to 150 words) *
- Research interests (point form) *
- Selected Citations (MLA)
- Photograph (will be cropped to square format. File must be .jpeg or .tiff) – if you don’t want one included I will use the ECU logo
Submitting work
Non-Exclusive Distribution License
- This form is mandatory for eCollections submissions
- It enables the ECU Library to license (obtain permission) from faculty, staff, and students to upload their submitted materials and publish these electronically on the Internet and to also convert submitted material to alternate formats for purposes of security, back-up and preservation.
- For electronic submission: Download the form, complete, e-sign, and email to the eCollections administrator. Adobe Acrobat Reader DC can be downloaded for free. The form can also be submitted manually to the library.
- To submit multiple objects at one time, please contact the eCollections administrator for a custom form with a schedule listing all covered objects
